Activities related to Phase 1 - Purchasing and Inventory

  • The stock supervisor will be responsible for all aspects of stock keeping and ordering, and must be appointed by the laboratory supervisor.

When this staff member is appointed, this should be announced in a staff meeting to inform all personnel of the laboratory (and understand his/her advisory function regarding stock and ordering and his authority over this process). Explain clearly his/her activities as stock supervisor so everybody knows where to go with questions and remarks regarding the stock and ordering process.

  • The stock card shall indicate:

    • Date and amount ordered
    • Date of receipt of item
    • Amount received
    • Lot-number
    • Expiry date
    • Date the material was placed in service
    • Amount of used items
    • Balance of items still in stock

These stock cards should be produced by the stock supervisor and will help him/her in keeping the stock up to date, prevent stock-outs, prevent expired products, prevents wrongly received orders, etc.
